Start with your actual workforce, not the feature list

The single biggest driver of fit is not the feature count — it is whether your people work from one office, from a factory floor, or out in the field. A tool built for desk-based attendance will not serve a sales team well, and a field-tracking tool can be overkill for a single-site back office. Before comparing vendors, write down: how many locations, how many states, how many employees work outside a fixed site, and whether attendance needs to survive patchy connectivity. Compliance: ask about the state, not just the feature

"Do you handle PF and ESI?" is not a useful question — almost every product will say yes. The useful questions are more specific:

  • If we have employees in three states, does professional tax apply per employee's actual work state, or does the whole company get one state's rule?
  • When a state notifies new PT slabs or a wage-code provision changes, how does the update reach my payroll — and how do I know it happened?
  • Can I see the exact formula behind a PF, ESI or gratuity number, or is it a black box?

Ask how that record is captured for each group of your employees (office, field, remote), what happens when the network drops, and what stops a false punch.
